A wellbeing programme can measure participation without monitoring personal health
Start with a clear voluntary purpose, inclusive activities and a written explanation of what the organisation can see. Aggregate participation may help evaluate a programme; individual food, weight, route or health records do not need to become an employer report. Privacy is part of programme design, not a notice added afterwards.
Offer different ways to take part
Walking, general activity, learning or habit-based options can accommodate more people than a leaderboard based only on speed, weight loss or exercise volume. Account for disability, shifts, caring responsibilities and different starting points, and avoid rewards that pressure staff to disclose health information.
Set a minimum useful reporting threshold
Small groups or highly specific breakdowns may allow individuals to be inferred even when names are removed. Keep reporting sufficiently aggregated, restrict administrative access and define retention. Employees should know how to ask questions, decline participation and raise a concern.
